Tuesday 23rd October 2018Annual General MeetingMembers MeetingOlwen 07415 334251 Eila 07964291892
The Annual General Meeting of the group. Please come along to meet up with your fellow members at this excellent CAMRA recommended pub for a drink and a chat and show your support. It's your chance to make your views known and elect (or volunteer to become) new committee members. WE CURRENTLY NEED ANOTHER TREASURER, CHAIRPERSON, AND SECRETARY and more committee members.

Please notify Olwen of proposals, agenda items and committee nominations, before 16th October.  Olwen secretary: OlwenDavies11@hotmail.co.uk and/or Eila chair: Eila_goss@hotmail.com. Venue: function room at rear of The Victoria, 69 West St, Dunstable LU6 1ST (near the police station).

AGENDA

1. Welcome.

2 Apologies:

3. Minutes of last meeting

4. Matters arising

5. Chairman’s report

6. Treasurer’s report

7. Membership report

8. Outdoor report

9. Social Report

10. Questions previously raised by members

· Expenditure for hostel trips and socials - DD

11. Proposals received from members ( listed in date received order)

· For the group year to run from January to December and that the take over for new committee members starts from January 1st of each year. -This is for a number of reasons but it also means that there is 2 months from the October AGM date that would allow any posts that are unfilled in October more time to be filled. Also, hand-over time to allow the current post-holder to have a hand-over meeting with new post-holder...necessary for treasurer and maybe secretary/outdoor organiser -GM

· To have the Awards Evening at the Dunstable College again. Reason is because it was so successful last time. They have agreed to host it for Feb 2019. -GM

· To have the Awards Evening at the Dunstable College again. Reason is because it was so successful last time. They have agreed to host it for Feb 2019. -GM

· Publish and distribute (via website?) AGM minutes within 2 weeks of the AGM. Reason – to show transparency -DD

· Publish and distribute (via website?) general committee minutes within 2 weeks of the committee meeting. Reason – To show transparency - DD

· Publish a cohesive data protection policy under information heading on the website. To show transparency and clarity - DD

· All walks, trips and social events shall be self-funding. Reason have understood this to be a longstanding, unwritten principle of the club. It’s now time to enshrine it in the constitution – DD

· Reduce membership fee to £5 per person with immediate effect. Based on the 2017 to Oct 2019 spreadsheets provided this is more than enough to cover the administration of the club. Those that have already paid for this year will get next year free. Review in 2 years.- DD

· Aim to maintain the bank balance at around £1000 to cover insurance, administration costs (AGM, EGM, main committee meetings, website, etc), short-term funding of deposits for bookings (2 - 3 weeks) until the participants have paid via the treasurer. -DD

· Give £2000 to charity - the club’s funds have been built up over many years to the point where they are far in excess of what’s needed to run the club.- Charity(ies) may be local or national. Coming to mind as ones that may affect the Boggies are cancer, alzheimers/dementure, mountain rescue or similar, Greensand Trust, Wildlife Trust. -DD

· To change to the voting process for the Awards. The reason is to facilitate more involvement from members. I propose that for each major award, 2-3 people are shortlisted. The members then vote at The Awards Evening itself with a voting slip. Votes are counted at the Awards Evening and 'winners' announced and presented with their awards -G

12. Appointment of Officers   -

· Chair

· Secretary

· Treasurer

Guidance for those attending Dunstable Bogtrotters events.

You walk with the Bogtrotters at your own risk.

You must ensure that you have suitable equipment, footwear and clothing, and enough food and drink for the activity being undertaken. You should carry your own first aid kit.

Do not leave the walk without telling the leader. Keep in front of the back marker when there is one and make sure that the walk leader or back marker knows if you temporarily leave the walk for a comfort break or other reason.

Children are welcome if accompanied by an adult member of their family, who will remain responsible for them at all times.

We do not allow dogs on our walks except for assistance dogs.

Before a walk starts participants are entitled to obtain a clear and, as far as  possible, accurate description of the walk. Be aware however that not every route is walked in advance and even when a path is familiar things may have changed since we were last there. Different walk leaders have developed different styles of walk introduction. Some give a formal health and safety talk, others a more general descriptive talk and others dislike the enforced formality and give only a fairly perfunctory introduction! If you are in any doubt about the walk you are going to undertake, or your own ability to complete it, you should raise your concerns with the walk leader first.

On local walks or weekend trips participants may choose to share cars or take their own. Before leaving the meeting place make it clear to the walk leader if you are prepared to take passengers, if you are willing to use your car to transfer drivers when this is necessary and if you will need to leave the walk early.

Drivers are not able to charge a fare for helping with transport, however a voluntary donation is usually made by their passengers.

Some walks are planned to be accessible by public transport. However bus times and services are subject to change so walk details will sometimes vary from those set out in the programme. It is advisable to contact the walk leader to obtain up-to-date information if public transport is involved.

Photographs of our activities, sometimes with the names of those participating, often appear on our website. If you do not wish to be photographed and possibly appear on the web, tell the event leader and they will include this notification in their introduction.

When walking as a member of the public on public footpaths in England and more generally in Britain there are well established and understood laws which govern the relationship, rights and obligations of the land owner to the walker and vice versa. When walking with a Bogtrotter walk leader you remain a member of the public, as does he/she. Nothing in the relationship between you as a walker and your walk leader adds to or alters this. By walking with us you do not improve upon your existing rights that are already well established in law.

Guests are welcome to join us for 2 or 3 walks after which they will be expected to enrol as members. Individual membership fee is currently £10 per year (01 September to 31 August.)
